Program Description

OnTime Dispatch by On Time Software Systems Inc provides operational SMS notifications to authorized employees, contracted drivers, and business contacts of our customers. Messages include:

OnTime Dispatch is a software-as-a-service (SaaS) platform for the trucking, logistics, and transportation industry. SMS notifications are a feature of the platform used to keep authorized personnel informed about operational activities.

All messages sent under this program are transactional or operational in nature. OnTime Dispatch does not send marketing, promotional, or advertising messages. SMS notifications relate exclusively to the recipient's role in dispatch, fleet, and operational activities of the licensed carrier that authorized their account.


Message Frequency

Message frequency varies based on operational activity and user notification preferences. Users typically receive between 1 and 10 messages per day, depending on their role and the volume of dispatch activity. Users can control which notification types they receive through their account settings.

Opt-In / Consent

OnTime Dispatch is a business-to-business platform; end users (dispatchers, back-office staff, and truck drivers including subhauler drivers) are employed or contracted by transportation carriers that license the software. There is no public sign-up. Providing a mobile phone number and granting SMS consent is entirely voluntary and is never required to create an account, log in, or use the OnTime Dispatch platform. Users who do not wish to receive SMS notifications use the platform with full functionality through email and in-app notifications. Every phone number that enters the system enters through one of the four explicit opt-in paths described below, and operational SMS is never sent to a phone number that has not completed one of them. Each path displays the consent paragraph users see in the application — “I agree to receive operational SMS notifications from OnTime Dispatch regarding load assignments, pickup and delivery updates, ETA alerts, and document requests. Message frequency varies based on operational activity. Message and data rates may apply. Reply STOP to opt out or HELP for help. See our SMS Terms and Privacy Policy.” — immediately adjacent to an unchecked checkbox or toggle.

Path 1 — Self-onboarded user accepts an emailed invitation (web). An administrator at a licensed carrier creates the account in the back office, the system emails the user an invitation link, and the user completes setup themselves at https://dispatch.ontimesw.com/accept-invitation. The activation page presents an optional mobile phone field and the SMS consent checkbox immediately below it. The checkbox is unchecked by default; if the user enters a phone number without checking the box, the Submit button stays disabled and an inline message explains that consent is required. Users who do not wish to receive SMS leave the phone field blank, and no consent is recorded.

Path 2 — Driver added by a dispatcher (admin-entered phone, double opt-in by SMS). When a dispatcher enters a driver's mobile number on the driver's behalf during invitation, OnTime Dispatch sends exactly one message to that number asking the driver to reply YES to confirm and finish account setup. No operational messages are sent in advance of consent. The inbound YES reply, validated by Twilio webhook signature and recorded with its inbound Message SID, is the regulatory consent record. A reply of STOP at any point cancels the flow, prevents any further SMS, and triggers a single one-time confirmation message acknowledging the opt-out.

Path 3 — Existing user toggles SMS on in account settings. Any user who declined SMS at activation, or who initially had no phone on file, can grant (or later revoke) SMS consent at any time inside the application at Settings → Notifications → Mobile SMS. The same verbatim consent paragraph and the same unchecked-by-default checkbox apply; the Enable SMS button activates only when both a phone number is entered and the checkbox is checked.

Path 4 — Mobile driver app (Flutter). The OnTime Dispatch mobile driver application (iOS and Android) presents the same verbatim consent paragraph and the same blocking, unchecked-by-default consent checkbox as the web activation page. Setup cannot complete with the SMS toggle on and the consent box unchecked. The mobile path writes to the same server-side consent ledger as the web path, distinguished only by the recorded mechanism.

Each grant of consent is persisted to a dedicated TCPA/CASL consent ledger with timestamp, mechanism, proof reference (activation token id, inbound Twilio Message SID, or audit-log id), and the verbatim consent text shown to the user. The notification dispatcher verifies an active consent record before every SMS send. Only company employees, contracted drivers, and authorized business contacts receive messages; no marketing messages are sent to the general public. Users may revoke consent at any time using any of the methods in the Opt-Out Instructions section below.

SMS notifications are supported on all major U.S. wireless carriers, including but not limited to AT&T, Verizon, T-Mobile, Sprint, and their MVNOs. Carriers are not liable for delayed or undelivered messages.

Mobile phone numbers, SMS opt-in records, and SMS consent data are never shared, sold, or transferred to any third parties, affiliates, or lead generators for any purpose, including but not limited to marketing or promotional purposes. Phone numbers are shared only with Twilio for the sole purpose of delivering the operational SMS messages described in this document.
